ABOUT THE ROLE

Our client, a UAE-based consumer electronics and mobile accessories brand, is opening its Syria operations: a flagship showroom in Al Sha'laan, a country office in Kafr Sousa, and a warehouse in the Adra Free Zone. They are hiring a Receptionist and Executive Assistant to run the front desk of the country office and to support the CEO directly. The role has two sides: you are the first person every visitor, supplier and dealer meets, and you are the person who keeps the CEO's diary, correspondence and travel in order. It suits someone organised and discreet who can move between greeting a walk-in customer and preparing a document for a regional head office in the same hour.

KEY RESPONSIBILITIES

  • Run the front desk: greet visitors, dealers and suppliers, manage the switchboard, and handle walk-in enquiries professionally in Arabic and English.
  • Manage the CEO's calendar: schedule and confirm meetings, protect time for priorities, and resolve conflicts before they become problems.
  • Prepare and follow up correspondence, letters, minutes, and internal announcements on the CEO's behalf.
  • Arrange travel and logistics for the CEO and visiting management: flights, hotels, transport, visas, and meeting agendas.
  • Take minutes in management meetings, circulate action points, and chase them to completion across departments.
  • Maintain filing for contracts, licences, and official documents, both paper and digital, so anything can be produced on request.
  • Coordinate office administration: supplies, courier and postal services, meeting rooms, and hospitality for guests.
  • Handle confidential commercial and personnel information with complete discretion.

REQUIRED QUALIFICATIONS

  • 3+ years in reception, front office, executive assistance, or office administration in Syria.
  • Strong Arabic and working English, spoken and written, sufficient to handle visitors, phone calls, and correspondence with a regional head office.
  • Confident with Microsoft Office: Word, Excel, Outlook, and PowerPoint, and comfortable with digital calendars and filing.
  • Well organised under interruption: able to hold a schedule together while the phone rings and someone is waiting at the desk.
  • Professional presence and clear communication with senior people, customers, and suppliers alike.
  • Discretion and reliability. This role sees commercial terms, salaries, and personnel matters before anyone else does.

PREFERRED QUALIFICATIONS

  • Experience supporting a general manager, CEO, or senior executive directly.
  • Background in retail, distribution, electronics, or telecom.
  • Experience with travel and visa arrangements for management.
  • Familiarity with basic office accounting or petty cash handling.
  • Additional language skills.
